How to improve your communication skills.

Would better communication improve your relationships?

Communication between people, both verbal communication and nonverbal communication, are the primary ways we build and strengthen a relationship. Communication is a vital part of relationships. Communication has two elements, what you’re communicating and how you’re doing that communication. Good communicators can convey difficult messages in ways that improve the relationship. Poor communication skills can turn even the smallest conflict into a major battle.

When couples come for relationship counseling, they commonly say the problem is communication. Unfortunately, many of them are communicating very effectively, but what they are sharing is all the negative, hostile feelings they have towards their partner. It’s easy to believe that your partner has caused the problems in the relationship. Frequently one or both partners need to look at themselves. For many couples, individual therapy is a prerequisite for effective couples’ therapy.

Improving your communication can facilitate resolving some of these conflicts, but better communication by itself will not make your partner agree with you or change them. First, let’s look at some of the ways that people communicate that increase the number of problems.

Ineffective communication styles can destroy a relationship.

Some communication styles turn every statement into a conflict. Some communication destroys relationships.

Ways to damage communication in a relationship.

Stonewalling destroys communication.

Stonewalling is the process where one or both parties refuse to talk to the other party. Some couples go weeks or even months without ever talking about things. Families may have relatives they haven’t spoken to in years. Stonewalling – refusing to communicate may include walking away while they are talking.

Other harmful styles of communication may result in creating so much pain in your partner that you teach them to withdraw whenever communication gets difficult.

It’s impossible to avoid communicating. Your failure to talk to someone says volumes. This failure to communicate doesn’t solve problems it adds to them.

Criticism – attacking the person rather than asking for change is destructive.

One way people attempt to tackle difficult communication and conflicts is to begin by an all-out attack on the other person. Knock them down and make them give in. Letting your frustration with your partner’s behavior get the better of you and venting all your anger at them isn’t likely to improve the situation. While telling someone what you think of them, venting may feel like a solution at the moment you attack; it now becomes a wound in your partner, which requires them to counterattack or withdraw. Criticism will sabotage your open communication.

Contempt – sarcasm, mocking, put down’s, escalate conflicts.

Belittling someone doesn’t lead to solving the problem. If anything, it pushes the conflict to the breaking point. If you have such a low opinion of someone, why do you have this relationship with them, and why did you start it? Attacking the other person says more about the attacker than the relationship partner.

Defensiveness – taking things as attacks and attacking back undermines communication.

Some people’s responses are all out of proportion to what was said to them. If you take everything your partner says as criticism or attack, you may need to do some work on yourself. People who come from abusive backgrounds, have lived with or grown up around narcissists, develop low self-esteem. Low self-esteem leads to taking any comment as hurtful.

Running away creates distance and destroys intimacy.

For many people in relationships, their go-to way of dealing with uncomfortable topics is to avoid them. When something comes up, they need to talk about; they run away. I’ve seen couples keep this up for decades. Some couples even seem to prefer this way of dealing with problems.

The issues you don’t talk about will continue to get worse, and eventually, they blow up in your face. After years of not dealing with the problems, couples can look at each other and wonder if they have anything in common and any reason to stay together. Lack of communication is not a solution to your communication problems.

Holding on to resentments will poison you and the relationship.

Many people like to hold on to resentments. Their anger keeps them warm at night. While you may not be able to forget something someone did to you, letting go of the resentment benefits you. The need to be right and to make the other person wrong is a corrosive chemical that eats away at your connection.

Not paying attention to your partner sabotages communication.

If the person you’re trying to talk to keeps repeating themselves, it’s likely they don’t believe you are hearing them. One of the best ways to improve communication is to listen to what they’re saying and try to figure out what they mean. Double-check if you’ve gotten their message correctly. Don’t waste your time in a conversation planning what you’re going to say in reply. Most of us humans can’t listen and understand what someone is saying while rehearsing what we are going to say in response at the same time. Failure to understand what they meant leaves you arguing about things they didn’t say and didn’t mean.

Don’t assume you know what they’re talking about.

Jumping to conclusions can sabotage communications. Ask meaningful questions. Make sure you understand their point before you reply.

Don’t over speak, interrupt, or start talking before they finished.

Not only is this rude, but it tells the party talking to you don’t care what they have to say. If you can be patient and listen longer, they may say something useful.

Accept silence as part of a conversation.

Some people are very uncomfortable with silence. Don’t expect your partner to have an instant answer to everything you say. Sometimes a little silence is a good thing. Ask yourself during the silence if your partner has stopped talking to you, or do they need some time to think it over? Things said in anger often damage the relationship, and if you give yourself some time to think of the right way to say something, you can improve communication.

Don’t cross-examine your partner.

Cross-examination should be reserved for the courtroom. You can ask for explanations, but if you are asking questions trying to trip them up and get them to tell you the truth, your relationship is already in serious trouble. Work on making your communication safe and your partner will tell you a lot more. If you don’t trust them, you probably shouldn’t be in this relationship.

Planning communication, when not together improves relationships.

When you’re apart for any length of time, include communication as part of your relationship maintenance. Set a time for phone calls and have rules for when you will text and whether your partner will respond to all your texts.

What is the Sandwich method to present bad news?

Some ways to deliver bad news are better than others.

If you need to give someone bad news – can you do it in a way that leaves the relationship intact?

We all have times when we need to give someone bad news.

Putting off that news may seem like the kind or safe thing to do but eventually, it needs to be done. Delaying the bad news only makes it harder.

The sandwich method of requesting a change.

One highly effective way to tell someone bad news without inflicting relationship damage is called the sandwich method. In the sandwich method there is a statement about what you value in the relationship, then the request for change, followed by a statement of support for the person you have asked to change.

Here are some examples of how the sandwich technique could be used to good effect. First in a work setting and then in your home life. In both cases, the bad news is coupled with a request that the other person change something.

A supervisor has to tell a worker to change.

The supervisor discovers he has to have a talk with an employee about their errors in using a new computer system. This is a common problem in most places that use computers. Some people learn new systems faster than others. Systems keep changing. A few people just never seem to get it.

The common but wrong way to deliver criticism.

The supervisor calls the employee in and chews the employee out.

Bob (or Mary, fill in any name here) you work is awful. You are hopeless, the worst person in the whole department. If you do not stop making all these computer errors I will need to write you up. Repeated failure to fix this problem will result in your termination. This is the last time I will talk to you before I start the process to get rid of your worthless rear end.

Has the supervisor been clear? Maybe. How does Bob feel about this now? Motivated to fix things? Maybe. But Bob is not likely to go out of his way to do much beyond the minimum to get by. And Bob will probably carry a resentment towards this supervisor from now on.

How the sandwich technique can help motivate others.

In the sandwich formula, the “bad news” or complaint is placed between two positive messages.

The supervisor calls Bob in and starts off with a review of the things Bob does well. “Bob I really appreciate all the hard work you do around here. Your work on the project last month was great. There is one area I need you to work on though. Your error rate on the new computer system is really high and management is emphasizing that we need everyone to get up to speed on using the new system. Is there anything we can do to help you improve your accuracy on the new system? I know all the times you have pitched-in in the past and feel sure you will find a way to get proficient in the new system.

How might Bob feel now? Is he more willing to try to improve his computer accuracy? Why doesn’t every management person use this method if this is so effective?

There are some management people who feel all workers are lazy, but then there are employees who think that all managers are unreasonable. There is a temptation when things go wrong to take our frustrations out on others. Beating someone up, standing over them, and threatening them may get the work done in the short run but as soon as the supervisor’s back is turned the effect wears off.

Using the sandwich method allows the message to come through, we need you to change or fix this, but it also conveys the message that the person receiving this bad news is still valued as a human being and that you want to cooperate on making things better.

How to ask for change from your child.

Your child brings home a test with an “F” grade.

You might “set this child straight.” Let them know that poor schoolwork is unacceptable, that if they want to ruin their life you will not be a part of this. That no child of yours will be allowed to be this stupid. Say something like “I can’t believe you are such a moron.”

Is this likely to be helpful? Did it work with you? A few of you are saying yes this kind of treatment jolted you into working harder, but most people who experience this kind of treatment get discouraged and give up trying. Especially if they had studied and failed the test anyway.

The sandwich method would involve telling the child that you love them and are proud of them. That most of the time they do great things. That this score is disappointing to you and you expect them to study more and improve that grade. You would end this sandwich with some support and saying that you know that they are a good child and that you are sure they will put in the effort and do the best they can. Something added like that you love them no matter what grade they get would also be helpful.

Both interactions, hopefully, convey the message “you need to study more and improve that grade” but in one the emphasis is on the child not being OK while in the sandwich method you are inserting the message “improve your work” in this subject area with other messages about the child being a good person and you liking them regardless. You are also expressing your belief that the child can succeed.

Does it bother you to give out compliments?

Some of you are thinking “I shouldn’t have to compliment people to get them to do what they are supposed to do.” No, you shouldn’t. But then you don’t have to say please and thank you, but those social graces, being nice to others makes interactions between other humans a lot more pleasant. Encouragement is effective and beatings, verbal or physical, stop working after a while. No one likes a person who tries to motivate by abuse. Besides making you more likable the sandwich method is more effective in motivating people to do things.

Tell someone that they are worthless and they live down to that label. Give them hope and self-respect and most people will make every effort to make the people who support them proud.

Does criticizing people get them to like you?

There seems to be a widely held belief that the way to get people to like and respect you is to criticize them and tell them what they are doing wrong.

Intuitively most people understand that if upon meeting someone for the first time, you began to upbraid them, called them names, and told them how worthless they are, this would not be likely to lead to having a large number of friends. We know this but we often do it anyway.

You would expect that each of us would be striving to treat ourselves well and yet we frequently call ourselves names that we would never, ever, dare call a friend.

Ever call yourself “stupid’ or “dumb?” Think for a moment about saying that to a friend. Not once, when they made an unusually poor choice, but consistently day after day. We wouldn’t do that to a friend, but most of us, most of the time, repeatedly call ourselves names.

The danger of calling yourself names is that you will start believing what you tell yourself.

Pictures of cute little puppies and little children inspire us to want to help. They can inspire us to kindness. It is easy to be kind to others. Most of us are afraid to be kind to ourselves.

Why is compassion reserved for other, unrelated people?

Somewhere we got the idea that it was acceptable to be kind to others but if we were to be nice or kind to ourselves then we would spoil ourselves and thereafter be worthless. So year after year we continue to beat ourselves up for one thing after another.

People, who truly spoil themselves, in a bad way, are not those who are kind and compassionate to themselves. The worst sort of spoilage occurs when we tell ourselves we are no good, worthless, or useless and then use that self-description as an excuse for behaving badly.

If you tell yourself you are a slob and then stop trying to clean up your living space because after all you are a slob and no one should expect a slob to clean. If you say you are stupid and then use that belief as an excuse to never attempt anything, expecting your family or society to take care of you. You are using your self-criticism to excuse poor behavior.

Some people tell themselves they are addicts, and what do you expect from an addict? Why of course I relapsed and used drugs again, I am an addict. But if you begin to tell yourself that I USED to be an addict, look at the possibilities that opens up.

One form of therapy is called “narrative therapy.” The way I understand this is that we tell ourselves and others stories, not untrue stories, just stories, and then as we tell them more and more we begin to believe our own fiction. So if you tell yourself you are dumb or worthless you become less and less able to accomplish anything.

People who say “I am an angry person,” stay angry and convince themselves they can’t change. If we can get them to start saying I USED to be an angry person, but I am changing, then amazingly they change.

Do you believe that the only way to get anybody to do things is to beat them? We find that this is a poor way to motivate either ourselves or others. Yet many people continue to beat themselves up, verbally, day after day.

One thing we tell parents as part of the basic parenting class is to catch their children doing something right. Small amounts of praise, judiciously used are great motivators. If the only way your children get your attention is to misbehave, they will misbehave for attention.

The parent who does nothing but criticizes their child finds that the child may give up. Consider the child who wants badly to please their parent; they study very hard for a big test. When the results come out the child has achieved a score of 99 out of 100 possible points.

What does this parent say? Why did you miss that one? You knew that! The result is that the child stops trying, convinced that no matter how hard they tried they will never be good enough.

Years later we find that person and many others still trying to motivate themselves by telling themselves that how they are is not good enough.

The risk here is that rather than motivate yourself to try harder, you will convince yourself that you are a failure and stop trying.

Ultimately you may become the person you say you are.

Criticizing, complaining and asking for change.

Criticizing, complaining, and asking for change.

Communication skills part 3.

When something bugs us what should we do? When we are unhappy we are likely to react in one of a very few ways. Will you say nothing, become angry, or take a middle road and try to talk about the issue?

Some people say nothing and suffer in silence. For those people, we recommend assertiveness training. If you do nothing about a problem then you become part of the mechanism perpetuation the problem not part of the solution.

Some people react to annoyances by becoming angry and acting out. Even if the violent approach works in the short run it is likely to result in long-term undesirable consequences. An excessive response to a problem may wind up in you having to do an Anger Management class, going to jail, or permanently damaging the relationship.

In between is the “let’s talk about it” approach. Some ways of talking with the other person are more effective than others.

Criticizing is not communication.

Criticizing is the method most often used and least likely to be helpful. This method attacks the other person. You call them names for not doing what you think they should. Statements get made like “you don’t respect me, you are a slob or other personal attacks.

Criticizing does not make any friends. When we are criticized we are likely to become defensive and reply with our list of all the things the other has done. Criticize someone too often and they may stop listening altogether.

Criticizing cuts off communication rather than improving it or getting things to change.

Complaining does not help communication.

Complaining involves talking about how the issue is affecting you.  While a slight improvement over criticizing it rarely gets anything to change.

This is a recurring behavior in work settings where people complain about how they have to too much to do and saying others do not help and so on. It can become the standard operating procedure in some settings.

People who work as professionals in a complaint department know, or should know, the importance of listening to the customer’s complaint. Until the person feels their complaint has been heard nothing much is likely to happen to resolve that complaint. But eventually, the process needs to move beyond complaining.

Some relationship skill building programs suggest combining the complaining behavior with the next step, problem-solving, or asking for change. While complaining may be a way to tell the other person what is upsetting you, moving to the next step and stating the specifics you want to change are most likely to improve the situation.

Asking for change improves communication.

Of all the ways of dealing with problems, this is the most likely to improve the situation despite seeming to be the hardest thing to do.

Use good problem-solving skills. Ask for change and stay on the problem and how to solve it. The greatest chance for improvement is to find a solution in which both parties win rather than a win-lose situation. There needs to be genuine two-way communication, hearing, and being heard.

Making things better.

Make sure that when you have a problem with another person that you avoid the name-calling and the personal attacks.

Clearly, state the problem as you see it. Ask for specific changes such as not interrupting you when you speak rather than global things like being nicer.

Listen while the other person describes how they see the problem. Work towards understanding their point of view. Look for a solution that meets both of your needs.

Just being honest – 5 times telling the truth is a bad thing

Not all “truth” is created equal – Communication Skills part 2.

As children most of us were taught we should always tell the truth, even when we knew the adults around us were not being truthful. In relationship counseling, we spend a lot of time on communications but improving communication does not always improve the relationship.

People who say they are “just telling the truth” find that their relationships suffer. Truth and honesty can build trust in a relationship but there are times when telling the truth can be both harmful and misleading.

Some people can say the most hurtful things, only to excuse what they have said by reporting “I am just being truthful.” People who use the truth defense are usually not so very receptive to having their partner reply with similar truths.

While telling the truth is a very desirable characteristic here are sometimes when the truth may damage relationships and may not be the “whole truth and nothing but the truth.”

When your version of the truth is an exaggeration.

Common statements, especially during arguments are “You always – You never, you are totally.”

Categorical statements are rarely, if ever, true. This way of saying things is meant to put the other person down and is criticism for criticism’s sake.

Criticism is a way of being hurtful and may cause permanent damage to the relationship. You don’t get to do this and then play the “I was only being truthful” card.

When you say it out of anger the truth is you are angry.

Things said out of anger are meant to hurt. Even if you avoid the exaggeration trap you are likely to say things laced with sarcasm and personal attacks. “Truths,” said in anger, are going to damage not improve the relationship.

Having hurt the other person they have no incentive to work on changing anything. When you are saying things in anger you are lashing out not looking for constructive resolution. Even if the statements were true, when you are full of anger, this is not the time to have that frank talk.

The truth-telling was all about you.

Sometimes “being honest” is about pointing out all the possible flaws in the other person in order to make yourself feel better about you.

Being honest is one thing, but there is no reason to blurt out every single defect you see in the other person. No one needs or wants that much honesty all at once. Think about the purpose behind telling someone the things you see wrong with them.

Is your honesty really about helping them improve or is it coming from a place of selfishness on your part? Honesty like meals needs to be spaced out over time as the need arises.

If you really want to be helpful talk only about as much of the person’s faults as they are ready to hear. Be sure you are not just doing these things to make yourself feel superior.

If the Honesty talk is all about the other person’s faults and you are not ready to own any of the faults this is not real honesty.

You can’t sleep at night or have an emotional hangover after truth-telling.

If after a binge of “ruthless honesty” you find you are unable to sleep at night. If you are emotionally drained for a while after the conversation then you might be experiencing an emotional hangover.

Telling someone off, like drinking too much, may feel good at the time but it is likely to come with the cost of an emotional hangover.

If you find you regret what you have said after an episode of “being honest” You know that the reason is the damage that what you said has caused to the relationship.

Excess of negative emotions, especially anger and fear will lead you to do things while emotional that you may regret afterward.

“It was true” may be a defense in a court of law but it will not make for happy relationships.

The other person is not ready to hear it – you need to use compassion.

Yelling at the deaf and showing pictures to the blind don’t aid communication. Telling someone more truth than they are ready to hear is only going to harm your relationship.

If you really want to end the relationship you don’t need to catalog the other person’s faults to justify your decision.

Remember to practice your compassion skill first and the honesty will have a place to grow when needed.

Communication is not what you think

Why communication is not getting you anywhere.

Ever feel like “We just can communicate?” Ever say that? The old standby in counseling, especially relationship counseling, is to teach people to be better communicators. Usually, the clients are disappointed with the results.

Everyone communicates all the time. If someone gives you the cold shoulder you know what that means, right? The stone wall and the icy silence speak more than words could ever say.

It really is impossible to not communicate. Most of us are pretty good at communicating angry, hurtful messages. It is the happy, helpful messages that get lost between people.

The problem lies in what people mean when they say they can’t communicate.

Most of the time people who say they can’t communicate mean one or more of the following things, sometimes all of them.

The other person does not do what you want them to.

Good communication does not mean the other person will give in and do what you want. Improving your communication skills will not suddenly have you winning all the arguments. What it might do is increase the chances you could have a discussion with the other person and you could find a solution to a problem that works for both of you.

If there are fundamental differences in what you want or believe, better communication is not likely to change one of you. What it will do is to help you understand why the other person thinks and feels the way they do. But after all that understanding you two may still not find a way to agree.

Religious differences are a common example of this. You may think communication about your beliefs will change the other person. Occasionally it does. Most of the time this conversation highlights how we put off these conversations as long as possible and then get disappointed when the other person does not come around to our way of thinking.

They don’t like the message they are receiving.

Lots of communication is sabotaged by having so many negative messages included in the communication no one in their right mind would want to listen to this conversation.

Verbally beating your partner up and then excusing that behavior in the name of “communicating” is guaranteed to result in more problems down the line. Just being Honest is no excuse for deliberately hurting someone else and it is not a communication style that is likely to improve a relationship.

Communication is all about the way in which we send and the other person understands the message. If there is an underlying message of “you are no good” or some other negative evaluation, improving communication will likely lead to a realization that the real problem is not the communication but the feelings behind it.

There are immense differences between Criticism, complaining, asking for change. If what you are hearing about yourself from the other person is hurtful, it is hard to hear much else.

They never hear anything good.

We tell parents that they need to “catch their children doing something right.” The principle applies to adults also.

If the only messages we hear are negative, we tune out. The surest way to reduce communication is to only communicate when there is a negative message. A constant stream of negative messages makes the other person stop trying. There is such a thing as “learned helplessness.” When you begin to think that no matter what you do it will never be good enough you stop trying.

Good communication includes small talk.

Human relationships are built by time together, positive time. It is not in the huge weighty matters that relationships are built but in the small day-to-day conversations where you come to know the other person.

Small talk is not a waste of time. It is one way to make relationships closer and more intimate. We grow fond of others not because they are of the correct political party or have the correct view of the world but because we share common interests.

Take time to talk about the colors and textures of life. The best communication comes when you are able to open yourself up and talk about who you really are as a person, way down inside.

Communicate to the other person that they are important enough for you to want to spend time with them. Try to do this without the distraction of other activities that need to be done. Make sure that your time together is not one where you divide your attention between the other person and the T. V. or a computer.
